About the job

Act as support to the wider Government Partnership team in relation to all administrative tasks and work streams.

Ensuring business compliance with the National Rail Contract (NRC) through:

  • Maintaining good internal relationships and influencing and interacting with managers, senior leaders and Directors
  • Leading the administration of timely and accurate information and delivery of subsequent outputs in a professional and structured manner
  • Maintaining effective and fruitful working relationships with the representatives of the Department for Transport

Collation, manipulation and translation of raw data and narrative updates into accurate useful information. Compiling information into periodic and ad-hoc reports for internal use and for external stakeholders including the Department for Transport.

Quickly becoming familiar with and then leading the effective use of various electronic administration systems to support oversight and management of the administration of the NRC requirements.

Leading the administration of accurate and up to date records of correspondence and commitment evidence and the collation and submission of information as required.

Your main responsibilities will be:

  • Lead the administration of relevant activities including but not limited to:
  • Period reporting
  • Document control
  • Correspondence management and logs
  • Jaggaer and CoreStream (bespoke systems) input and data management
  • Commitment evidence collation
  • Generating and remitting correspondence
  • Marshalling activity to avoid commitment contraventions
  • Maintaining important data, ensuring it is accessible, clean and up to date
  • Support the wider Government Partnership team in the management of the relationship with the Department for Transport (DfT)
  • Attending internal and external facing meetings as required
  • Collate and report periodic information
  • Compile, monitor and maintain a suite of reporting tools

Decision Making:

The role requires the individual to work with key stakeholders (both internal and external) to obtain, manipulate and record important information. This will be achieved through the accurate production, publication and communication of information.

Decision making scope will include working level approaches to information management, production and presentation.

Decision making will also include provision of guidance (with suitable caveats) to internal Stakeholders regarding relevant NRC matters.

Decision making will also relate to the processing of DfT queries and correspondence. The effective handling of time sensitive issues will be an important aspect of this role.

You'll need to be:

  • Good knowledge of the rail industry structure and its stakeholders
  • Desirably a good knowledge and understanding of SWR
  • Experience of data management, reporting and analysis.
  • Good IT skills, including Microsoft Office
  • Able to write clearly and produce graphical information
  • Ability to tailor information when required
  • Numerate with a good analytical capability
  • Some understanding of industry measures and reporting
  • Ability to work both in a team and unsupervised
  • Experience in working to tight deadlines and in a busy environment
  • Experience of interacting regularly and effectively with managers and senior leaders
  • College level qualification or demonstrable equivalent experience
  • Good interpersonal skills and confidence in interacting at all levels
  • Ability to learn quickly and apply that learning effectively

An essential requirement of this new role is to work collaboratively across all SWR functions. The post holder will be expected to work closely and collaboratively with internal stakeholders.

Working effectively with counterparts in the Department for Transport will be a trusted aspect of this role.

The role will be responsible for compiling and maintaining evidence of obligation compliance and ensuring timely submission.

The role will be responsible for tracking activity, reporting on activity progress as well as informing managerial decision making and activity across the business.

About the location

South Western Railways HQ is based on the 4th Floor at South Bank Central, a stone's throw from the River Thames and a 10 minute walk from our busiest station, Waterloo. It is local to many well-known attractions, restaurants and retail facilities and is easily accessible by public transport.

Working pattern

You will be working 37 hours across 5 days per week, Monday - Friday.
