Position Overview

An exceptional opportunity has emerged for a motivated and enthusiastic individual to join the Administration team within the Respiratory Medicine department at Barts Health NHS Trust.

We are looking for a dedicated Administration Assistant to deliver outstanding support for patient pathways within the Respiratory department and to contribute to the provision of a high-quality service.

The successful candidate will be instrumental in ensuring efficient administration of patient pathways throughout their journey within the Service, from referral to discharge for both outpatient and inpatient care. The ideal applicant will be proactive, highly organized, and possess a strong commitment to patient and customer care. The ability to manage multiple tasks, collaborate within a team, and perform under pressure in a busy office environment is essential.

Candidates should have a solid understanding of patient access targets and preferably have previous experience in an administrative capacity within a healthcare setting.

Main Responsibilities

Act as the primary contact for patients regarding all matters related to their care pathway, addressing both inpatient and outpatient concerns. The post holder will collaborate with a multi-disciplinary team under the guidance of the Clinical Lead, providing expertise in the proactive management of patient pathways from referral to discharge, ensuring a seamless experience for patients. This role will involve close cooperation with the physiotherapy team and direct interaction with patients in a clinical environment.

The post holder will strive to maintain high levels of satisfaction for both patients and clinicians by being an approachable, customer-focused, and knowledgeable point of contact. To ensure consistency across the Trust, Standard Operating Procedures (SOP) will outline how the responsibilities of this role will be executed along with the expected timelines.

Qualifications and Skills

Essential Criteria

  • GCSE or equivalent in English and Maths, grades A-C
  • Strong understanding of specialty-specific patient pathways
  • Awareness of patient priorities and performance targets
  • Comprehensive knowledge of healthcare administrative systems and processes
  • Familiarity with Secondary Care, Primary Care, GP, and community services

Experience

Essential Criteria

  • Proficient in using a full range of IT and patient data systems, including Microsoft Office: Outlook, Word, Excel; EPR/CRS
  • Previous experience or working knowledge of the 18 weeks RTT program
  • Understanding of Human Rights, Equality, and Diversity policies and procedures
  • Ability to treat all individuals with dignity and respect
  • Efficient use and maintenance of resources
  • Act responsibly as a team member and seek assistance when needed
