Job Summary

We are seeking an experienced Administrative Support Specialist to join our team. As an integral part of our operations, you will provide administrative support to ensure the smooth and effective running of our branch. Your primary goal will be to provide exceptional customer service, while maintaining accurate records and supporting our Operations Manager and General Manager.

Key Responsibilities

  • Organize and input engineer timesheet information on a weekly basis, adhering to set timescales and processes.
  • Communicate with customers, engineers, and the customer service center regarding installation projects and service calls.
  • Maintain customer job files, ensuring all necessary information is accurately recorded.
  • Clear cancelled jobs and database amendments.
  • Assist with the production of engineer routine maintenance lists/logs and report on progress.
  • Support the Operations Manager with installation planning and management of work in hand.
  • Take calls from engineers, customers, and colleagues to assist in resolving issues or concerns.

Requirements

  • Previous administrative/customer service experience.
  • Experience dealing with customer disputes (ideally).
  • Solid IT literacy skills, with proficiency in multiple systems, including in-house portals and Microsoft systems.
  • Natural communication skills, with the ability to build rapport with colleagues.
  • Proactive with the ability to prioritize workloads and multitask effectively.
  • Highly organized, with the ability to work to deadlines.
