We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at South Hampshire College's Group. The successful candidate will provide administrative support to our Learning Support department, ensuring the smooth operation of our EHCP Annual Review process.
Key Responsibilities- EHCP Annual Review Process: Administer the EHCP Annual Review process, including requesting and collating all contributions, both internally and externally, preparation of all documentation and attending/minuting annual review meetings.
- Support with Annual Review Reports: Support with the write up of completed annual review reports and distribute these according to compliance timeframes set by issuing Local Authorities (when required).
- ALS Admissions: Intercept and collate the in-year ALS admissions forms and record these on college systems.
- EHCP Student Profiles: Produce profiles for all EHCP students using information held by the college.
- Template Documents: Produce template documents required for recording and evidencing support for EHCP students.
- General Enquiries: Support the ALS Lead/ Coordinator in taking general day to day enquiries and following up as appropriate.
- Resource Procurement: Administer the procurement of resources required by students or the department.
- Health and Safety: Follow the process in liaising with Health and Safety teams and curriculum for all EHCP students across designated campuses in regard to risk assessments and PEEPs.
- Parent/Carer Liaison: Be the first point of contact for parents/carers and other key stakeholders, with regards to ALS.
- External Liaison: Liaise with feeder schools, parents/carers, other education providers and external agencies, to ensure all appropriate student's SEN/EHCP documentation is received and uploaded appropriately within college systems.
- ALS Meetings: Attend, take minutes and document all ALS meetings.
- Meeting Arrangements: Arrange and book meetings required by ALS Lead, including all Learning Support interview meetings for potential and enrolled students.
- Exam Arrangements: Support with administration of Exam arrangements.
- Timetabling: Assist with the timetabling and tracking of personalised timetables for students with support needs.
- Travel Arrangements: Support with the co-ordination of travel arrangements for learners with SEND and liaise with associated stakeholders (as required).
- Open Events: Represent the college ALS Department at open events and attend career's evening at local schools (at peak times of the year).
We are looking for a highly organized and detail-oriented individual with excellent communication skills. The successful candidate will have experience in administrative roles, preferably in an education setting.
