The Shared Services Partnership is seeking an Administrative Support Specialist to assist our vital team. This role is essential in supporting our mission to enhance safety for individuals and communities.
Key ResponsibilitiesThe successful applicant will deliver a variety of support services to the Senior Leadership Team within the Intelligence Department.
Main Duties include:
- Serve as the primary contact for the Senior Leadership Team, managing electronic calendars, scheduling meetings, and organizing conferences.
- Document and summarize key decisions, actions, and risks from relevant meetings, producing detailed minutes when required.
- Coordinate and communicate with both internal and external partners and stakeholders.
- Create and maintain various computerized records and databases relevant to the roles and commands.
- Oversee and manage the email and mailbox communications for Senior Leaders during periods of absence.
- Gather information and maintain files necessary for responding to inquiries.
Applicants should possess QCF Level qualifications including English and Mathematics, or equivalent work experience.
Proficiency in Typing/Word Processing (RSA II) is required.
Experience RequiredExtensive experience in secretarial or administrative roles within an office setting is essential.
Demonstrated proficiency in typing and document formatting is necessary.
Strong computer skills, particularly in Microsoft Office applications such as Outlook, Excel, Word, PowerPoint, and Teams, are required.
