Location: Hybrid (3 days in the office, 2 days remote)

Shard Financial Media, a prominent entity in the financial services sector, is expanding its operations and is in search of an Events Office Administrator.

The Events Office Administrator will work closely with the Senior Event Manager to assist in the planning and execution of various client-focused events.

This role offers a unique opportunity to influence the quality of events, ensuring exceptional attendee satisfaction and engagement while enhancing your understanding of the events sector.


Key Responsibilities:
  • Assist in the planning, preparation, and execution of diverse events including conferences, awards, broadcasts, roundtables, and judging days.
  • Take charge of generating booking confirmations, participant information packs, exhibitor/speaker materials, and other essential event documentation such as signage and badges.
  • Oversee the setup of digital event platforms.
  • Maintain a strong customer focus by fostering excellent relationships with speakers, sponsors, attendees, and vendors.
  • Manage the logistics of dispatching and returning event materials and equipment to venues.
  • Coordinate travel and accommodation arrangements for event staff.
  • Participate in all events, assisting from setup through to conclusion.
  • Effectively manage attendee data, ensuring accurate information capture and table arrangements.
  • Contribute to post-event evaluations and continuous improvement efforts for future events.
  • Handle some office administrative tasks and oversee the management of event storage.

Qualifications and Skills:
  • 1-2 years of experience in an organization that conducts events.
  • A degree in Event Management is advantageous but not mandatory.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple aspects of event preparation with strong organizational skills and attention to detail.
  • Proficient in Microsoft Outlook, Excel, and Word, with a focus on Excel and mail merge capabilities.
  • Familiarity with Salesforce and Swoogo is a plus, though training will be provided.
  • Willingness to learn and utilize event technology.
  • Flexibility to work outside standard hours for event coverage, including travel and overnight stays, without weekend commitments.
