About the Role

We are seeking an experienced and skilled Administrative Support Officer to join our team at University Hospitals Birmingham NHS Foundation Trust. As a key member of our Emergency Department, you will provide administrative support to the department and be the first point of contact for all users.

Main Responsibilities

  • Welcome patients and visitors to the department in a friendly and professional manner
  • Maintain accurate records regarding admission, discharges, clinic attenders, and appointments on clinical IT systems
  • Ensure all necessary documentation is complete and scanned correctly
  • Perform general clerical duties, including filing, photocopying, and obtaining case notes
  • Open and distribute mail as required
  • Deal with Estates and make requests for maintenance and repairs, following up on requests as necessary
  • Order stationery and maintain relevant stock levels
  • Ensure the safekeeping of patients' property in line with Trust policy
  • Deal with pharmacy requests, forms, and specimens to respective departments

Person Specification

  • Good general education, including GCSE English and Maths A-C (Level 9-4)
  • Experience of dealing with the public and customer service experience
  • Experience of using IT systems
  • Desirable experience of working with Microsoft Office packages, working in a busy environment, and working in healthcare
  • Essential skills include working effectively and flexibly as part of a team, being confident in dealing with people at all levels, and demonstrating an understanding of equality and diversity
