Position Overview

An exceptional opportunity has emerged within the Birmingham Community Healthcare NHS FT for an Administrative Support Officer to deliver comprehensive office and administrative assistance to the Therapy Hub, operating under the guidance of the Senior Administrator.

This role is a fixed-term position designed to provide coverage during a maternity leave period.

Key Responsibilities

  • Deliver a proficient and effective administrative service as required by the Therapy Hub.
  • Manage inquiries through telephone and in-person interactions, ensuring clear communication of information and timely relay of messages.
  • Schedule appointments for therapists and update relevant systems to accurately reflect bookings in accordance with internal training.
  • Organize meetings as necessary, including the preparation and distribution of agendas and minutes, as well as booking venues and catering services.
  • Maintain efficient systems for the filing, retrieval, and archiving of documents and correspondence.
  • Oversee record-keeping systems within the Therapy Hub, including the organization, filing, and archiving of patient records, while providing additional administrative support as needed.

About the Organization

  • Regularly check your application account for updates, as this will be our primary method of communication during the selection process.
  • Ensure that all sections of the application form are completed thoroughly, particularly the details of referees, including their professional email addresses and contact information.

Qualifications and Training

Essential Requirements

  • GCSE in Maths and English at Grade C or above, or equivalent experience.

Desirable Qualifications

  • RSA II in Word Processing or equivalent.
  • European Computer Driving Licence (ECDL).

  • Proven ability to work effectively under deadlines.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Relevant experience within the NHS environment.
  • Familiarity with filing systems.
  • Experience in managing diaries.

Desirable Experience

  • Knowledge of the Rio system.
  • Familiarity with the Electronic Staff Record (ESR).
  • Previous clerical or administrative experience.
