Office Support Coordinator

Position Overview
We are seeking an Office Support Coordinator to become a vital part of our Midlands team, working on a part-time schedule (5 mornings each week).
Key Responsibilities
As an Office Support Coordinator, you will play a crucial role in ensuring the smooth operation of our services. Your responsibilities will include:
- Assisting managers and team leaders in delivering effective services by preparing meeting agendas, taking accurate minutes, and organizing meetings.
- Providing comprehensive administrative support to the team, which may involve tasks such as photocopying, proofreading, printing, scanning, filing, and document collation.
- Supporting managers with the creation of basic correspondence for both internal and external stakeholders while maintaining confidentiality at all times.
- Assisting with day-to-day operational management tasks as delegated by managers.
- Utilizing Microsoft applications, including Word, Outlook, Excel, and MS Teams, regularly.
- Managing the receipt, sorting, and distribution of mail efficiently.
- Coordinating travel and accommodation arrangements as needed.
- Maintaining clinical records to ensure timely logging of referrals, deaths, and discharges.
- Updating clinic lists and scheduling appointments for outpatient and day therapy sessions.
- Handling telephone inquiries from internal and external contacts, ensuring accurate message recording and relay.
Required Skills and Experience
The ideal candidate will possess:
- Recent experience and understanding of administrative processes, including minute-taking.
- Experience in an administrative role or customer-facing service.
- The ability to adapt to flexible working hours to meet service demands.
- Strong organizational skills to work under tight deadlines.
- Proficient IT skills.
