Job Overview

We are seeking a dedicated individual to oversee the administrative responsibilities of our medical professionals within the Musculoskeletal and Pain Management Team. This role is essential in delivering outstanding administrative assistance while supervising junior team members.

Key Responsibilities

The successful candidate will play a pivotal role in supporting two dynamic specialties, ensuring that secretarial services for our medical staff are efficiently managed. Responsibilities include:

  • Maximizing outpatient clinic capacity and ensuring patients are treated within the designated timelines.
  • Timely production of clinical correspondence and effective management of clinicians' schedules, outpatient clinics, and day case commitments.
  • Assisting with the preparation of all correspondence related to both outpatient and inpatient services.
  • Collaborating with departmental managers to meet key performance indicators.
  • Organizing and managing appointments for patients, including new and follow-up visits.
  • Addressing inquiries from patients and staff, providing resolutions for complex issues.
  • Coordinating with various departments regarding admissions, waiting lists, and cancellations, ensuring adherence to hospital policies.
  • Providing cross-coverage for secretarial teams during periods of absence.
  • Maintaining organized filing systems and ensuring all documentation is accurately archived.
  • Managing incoming correspondence, prioritizing urgent matters, and responding promptly to emails.

Qualifications and Skills Required

  • A strong educational background, equivalent to GCSE Grade C or above.
  • Relevant qualifications in medical terminology or equivalent.
  • Proven experience in a comprehensive range of medical secretarial tasks and software.
  • Advanced proficiency in word processing and medical terminology.
  • Excellent organizational skills and the ability to manage multiple priorities effectively.
