Position Overview

We are seeking an Administrative Coordinator who is adaptable, driven, well-trained, and enthusiastic. The ideal candidate will possess exceptional interpersonal and communication abilities, with a strong capacity to engage with a diverse clientele to deliver top-notch service. This role involves collaboration within a multi-disciplinary team across various sectors of Sexual Health services, in a progressive sexual health and HIV environment.

Key Responsibilities

The role encompasses delivering and sustaining high-quality, user-centered access to the Integrated Sexual Health Service through effective customer service and support across all clinical venues, ensuring confidentiality and a non-judgmental approach.

The successful applicant will assist service users in navigating all facets of the offerings available from the Integrated Sexual Health Service.

Main Duties Include:

  • Serving as the primary point of contact, providing general information to patients, visitors, staff, and others, through various communication channels including correspondence, telephone, email, or in-person interactions.
  • Addressing routine inquiries appropriately or determining the most relevant referral point, while maintaining confidentiality regarding personal and sensitive information.
  • Scheduling appointments as necessary, which may involve issuing written confirmations through pre-prepared standard letters, emails, or texts. Troubleshooting any issues that may arise, including those related to clinic scheduling.
  • Performing basic clerical tasks such as managing incoming/outgoing mail, filing, photocopying, and completing standard forms/returns. Typing or word processing routine letters and other relevant documents may also be required.
  • Documenting information on relevant systems, which may be computerized or paper-based, ensuring accuracy and confidentiality.
  • Supporting multiple clinics within the sexual health domain, which may include chaperoning duties. While prior experience is not mandatory, a willingness to learn and develop is essential.

Qualifications and Skills Required:

Essential:

  • Educated to GCSE Level or equivalent, with Maths and English at grade C or above, or equivalent qualifications/demonstrable experience.
  • Computer literacy skills equivalent to RSA2, NVQ 2, or demonstrable experience.

Desirable:

  • Previous office/administrative experience in a healthcare environment.
  • A minimum of one year’s experience in an office/administrative role.
  • Experience handling confidential information.
  • Experience in a receptionist capacity.

Skills:

  • Ability to organize and prioritize workload effectively.
  • Strong communication skills.
  • Ability to function effectively as part of a team.
