Position Overview

The Clinical Administrative Coordinator plays a vital role in delivering a seamless and comprehensive administrative support service to healthcare professionals, including consultants, specialist nurses, and other medical personnel.

Key Responsibilities include:

- Upholding a high standard of administrative service to fulfill the requirements of the clinical team.

- Ensuring precise and timely transcription of clinic letters and correspondence through audio and digital dictation.

- Addressing inquiries from patients, general practitioners, and other medical teams concerning patient care.

- Adhering to the Trust's Confidentiality Policy consistently.

Primary Duties

  • Facilitate the efficient operation of the office/team by assessing priorities and initiating necessary preparatory actions.
  • Ensure that test results and investigations for patients are received, presented to medical staff, and that all relevant follow-up arrangements are executed.
  • Support the Senior Medical Secretary in organizing and managing meetings as required.
  • Utilize the internal patient data tracking system to ensure that all patient case notes are accurately logged in and out.
  • Work within established national and local targets, monitoring regularly for potential breaches and reporting to the Senior Medical Secretary.
  • Provide coverage for the Senior Medical Secretary during periods of absence within contracted hours.
  • Assist in coordinating outpatient clinics and scheduled admissions relevant to the specialty.

Job Responsibilities

Working hours will be scheduled between 08:00 and 17:00, with specific timings to be agreed upon with the Senior Medical Secretary.

Candidate Profile

Required Experience

  • A minimum of one year of typing and administrative experience.
  • Proficiency in audio typing.

Preferred Experience

  • Previous experience as a medical secretary.
  • Familiarity with the NHS environment.
  • Touch typing skills.
  • Experience with iCS software.
