Position Overview

We are pleased to announce a rewarding opportunity within the Obstetrics and Gynaecology division.

The successful candidate will provide essential administrative support to the medical team, including consultants and specialist nurses, ensuring that all tasks are prioritized effectively to meet deadlines. The role demands a commitment to delivering a high-quality administrative service that aligns with the clinical team's requirements, demonstrating excellent time management skills while adapting to shifting priorities.

It is imperative that the individual adheres to the Trust's Confidentiality Policy at all times.

Key Responsibilities

ADMINISTRATIVE FUNCTIONS

Facilitate the efficient operation of the office by assessing priorities and initiating necessary actions in collaboration with the Senior Medical Secretary. Ensure that patient test results and investigations are received, reviewed by medical personnel, and that all relevant follow-up arrangements are executed. Organize and document meetings as required. Adhere to national and local targets, including the 18-week and cancer targets, monitoring progress regularly to identify potential breaches. Ensure that follow-up actions from multidisciplinary team meetings are completed promptly. Provide temporary coverage for the Senior Medical Secretary during periods of absence, fulfilling the role of Relief Secretary. Offer support for the Audio Typist/Admin role during absences to maintain continuity of service. Under the guidance of the Business Support Officer and Senior Medical Secretary, implement procedural enhancements to existing systems and processes. Assist in coordinating outpatient clinics and/or surgical schedules, managing booked admissions relevant to the specialty, and liaising with the Admissions Office to optimize resource utilization. Complete a monthly order for office supplies for the department.

Qualifications

Essential

Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel, along with other IT skills acquired through training and practical experience. A solid educational background, achieving at least GCSE level (including English Language at Grade C or above) or equivalent qualifications. Experience in a high-pressure administrative setting. Ability to maintain confidentiality consistently.

Desirable

Medical Secretaries Diploma or equivalent qualifications. Previous experience within the NHS. NVQ Level 2 in Business Administration.
