The primary objective of this role is to deliver administrative and executive support. This position serves as the main contact for the office, responsible for greeting visitors and ensuring meeting spaces are adequately prepared for various engagements.

Key Responsibilities

Provide administrative support to designated directors. Organize meetings, events, travel arrangements, accommodations, and other logistical needs. Attend meetings and take minutes as required. Manage diaries proactively, coordinating meetings, travel, and communications. Prepare, edit, and distribute reports and presentations in accordance with corporate branding. Communicate essential corporate information to relevant stakeholders. Assist with the onboarding process for new employees and facilitate induction programs. Compile and verify credit card returns and expense claims as needed. Address general inquiries and manage requests from central email channels, ensuring tasks are completed efficiently. Coordinate corporate initiatives and maintain relevant electronic documentation. Welcome visitors in a professional and courteous manner. Schedule meeting rooms and ensure all requirements, including catering, are fulfilled. Maintain cleanliness and organization of meeting spaces. Ensure the office is stocked with necessary supplies, including stationery and other essentials.

Required Skills

Proven experience in supporting directors in a secretarial or administrative capacity. Strong background in administration. Excellent written and verbal communication skills, with a focus on positive engagement. Cooperative and solution-oriented mindset, with a strong emphasis on customer service. High level of organizational and time management skills, especially in a fast-paced environment. Ability to manage complex schedules while considering various commitments and priorities. Proven capability to handle sensitive information with discretion. Proficient in taking accurate meeting minutes. Strong word processing skills (60+ wpm). High proficiency in technology, including Microsoft Office and various hardware. Solid numerical and literacy skills. Experience in a front-of-house role is advantageous. Relevant qualifications in Secretarial or Business Administration are preferred. Experience in veterinary healthcare or service-oriented environments is a plus.
