Fulwood Hall Hospital was opened as a purpose built facility in 1986. In 2009 the hospital completed a £9m pound investment to refurbish and expand the site, making it the largest independent hospital in Lancashire and one of the largest in the north of England.

The hospital has nine consulting rooms supported by a fully equipped outpatient treatment room, a pre-assessment unit for screening and assessing patients prior to surgery as well as modern imaging facilities and a brand new physio and sports therapy department including gymnasium.

This exciting and strategic role involves supporting the operations manager in performance of all administrative teams within the hospital.

The head of hospital administration is responsible for optimising business, and administrative processes to meet contractual requirements and provide a cost effective service.

The successful candidate will have a proven track record of managing a team of staff effectively and efficiently within an agreed budget, delivering a range of KPI's.

The role will be supported by using analytics and data insight to ensure optimal use of time and resource across all admin functions in order to develop process, efficiencies and utilisation and increase patient flow.

Responsibilities:

  • Undertake activity planning, to support contract negotiations, whilst also ensuring that robust patient pathway monitoring is in place for the monitoring, compliance, and performance management of all sub-contractual and Inter Provider Transfer agreements.
  • Support the Hospital to ensuring it exercises its functions effectively, efficiently, economically, with good governance and in accordance with the terms of the agreed NHS contracts.
  • Management of key work streams to be maintained within designated KPIS's, including management of RTT and DM01 wait time targets, ensuring that all patients are treated in a timely manner, without breaching.
  • Lead in ERS capacity and demand planning alongside the ERS Lead to ensure appropriate availability and competitive wait times are maintained across all specialties. Ensuring no appointment slot issues occur and private patient capacity is available within 1 week.
  • Management of the Medical Records/Scanning function, ensuring that all documents are scanned/ audited within 24 hours of receipt and that all relevant quality checks are consistently in place.
  • Management of IP bookings processes, maintaining a 4-6 lead time of theatre utilisation, and consistent availability for private patients.
  • Management of the Reception Team to ensure high levels of patient satisfaction, effective complaint resolution and the consistent maintenance of excellent data quality standards.
  • Work collaboratively with the Operations Manager and Private Patient Manager to develop private patient services and availability, supporting growth in both insured and self-pay activity.
  • Manage all Administrative departments to deliver private patient differentiation where applicable, ensuring a seamless patient journey.
  • Support with the transition of administrative projects from development or strategic plan to business as usual (BAU).
  • Ensure all BAU audits are undertaken, and results monitored and reviewed to ensure high standards are maintained across the administration function.
  • Work collaboratively with clinical and operational teams including key stakeholders to develop and maintain effective interpersonal relationships to facilitate excellence in service delivery.
  • Take part in the development of a comprehensive multiyear strategic plan and annual operating plan including the formulation of departmental budgets within the hospital budgeting process.
  • Be responsible and accountable for administrative financial performance outcomes ensuring that plans are met through a cost effective use of labour to ensure ad close monitoring of Key Performance Indicators.
  • Ensure staff skill and competence levels are continually reviewed and developed to meet the immediate and future needs of the business through a comprehensive and needs focused education plan.
