Job Title:

Executive Assistant Office Manager

About the Role:

We are seeking a highly skilled and experienced Executive-Level Administrator/Office Manager to join our team at Pivotal Recruitment Ltd. As the communication hub for our organization, this role will be responsible for ensuring smooth operations across multiple locations.

Main Responsibilities:
  • Executive Leadership Support & Office Management: Act as the key point of contact between executives and internal/external clients, managing all office operations efficiently.
  • IT & Office Equipment Management: Collaborate with IT companies to ensure office equipment functions correctly, maintain inventory, and manage company phone systems and cell phone plans.
  • Onboarding & Personnel Support: Play a key role in onboarding new employees, offering administrative guidance and support for a smooth transition into the company.
  • Vendor & Supply Management: Work directly with vendors to manage office supplies, coordinate external vendors for promotional events, and create printed promotional literature.
  • Calendar & Travel Management: Handle complex calendar management, travel arrangements, and meeting coordination for global executives, ensuring seamless planning and execution of events.
  • Social Media & Digital Marketing: Manage social media platforms for Europe, driving brand visibility and engagement through targeted campaigns.
Requirements:
  • Over 5 years of diverse experience in an administrative or office management role.
  • Excellent interpersonal and organizational skills, with the ability to multitask in a fast-paced environment.
  • A proven track record of commitment and initiative that delivers results.
  • Detailed knowledge of office operations, including IT, office equipment, and vendor management.
  • Ability to work collaboratively with cross-functional teams and stakeholders.
Salary:

$60,000 - $80,000 per annum, depending on experience.
