About the Role:

We are seeking a highly skilled and experienced Administrative Services Manager to join our team at Pivotal Recruitment Ltd. As an Executive Support Specialist, you will be responsible for handling broad responsibilities, ensuring smooth communication and operations in a fast-paced environment.

Key Responsibilities:
  • Act as key point of contact between executives and internal/external clients, ensuring seamless communication and operations.
  • Manage all office operations across multiple locations, guaranteeing efficient services.
IT & Office Equipment Management:
  • Collaborate with IT companies to ensure correct functioning of office equipment and resolve employee issues promptly.
  • Maintain detailed inventory of office computer equipment and manage company phone systems and cell phone plans, troubleshooting issues as needed.
Onboarding & Personnel Support:
  • Play a key role in onboarding new employees, offering administrative guidance and support for a smooth transition into the company.
  • Assist personnel globally with administrative and logistical support, ensuring smooth daily operations.
Vendor & Supply Management:
  • Work directly with vendors to manage office supplies, including coffee and drinks, etc.
  • Coordinate with external vendors for promotional events, including conference exhibitions, and create printed promotional literature such as brochures and Product Line cards.
Calendar & Travel Management:
  • Handle complex calendar management, travel arrangements, and meeting coordination for global executives, successfully managing schedules across multiple time zones.
  • Ensure seamless planning and execution of events both locally and internationally, coordinating scheduling of international meetings and trade shows.
Social Media & Digital Marketing:
  • Manage social media platforms for Europe, driving brand visibility and engagement through targeted campaigns.
  • Collaborate with marketing companies to align strategies and maintain consistent messaging across channels, including LinkedIn, email, and the company website.

As an ideal candidate, you should have over 5 years of diverse experience, excellent interpersonal and organizational skills, be adept at multitasking in a fast-paced environment, and have attention to detail and accuracy. The estimated salary for this position is $80,000 - $110,000 per annum.
