AJ Chambers is collaborating with a prestigious International Law Firm located in the City of London, seeking a Business Development Team Assistant to provide support to the Business Development & Marketing team.

The Business Development & Marketing team plays a crucial role in enhancing the firm's business, fostering relationships with current and prospective clients, and managing the firm's market presence. The team's responsibilities include:

  • Overseeing media relations and identifying optimal opportunities;
  • Enhancing brand positioning through exceptional client service and thought leadership;
  • Developing and managing strategic business plans at various levels including client, partner, sector, and practice group;
  • Administering key client relationships and client feedback initiatives;
  • Formulating and executing the firm's digital strategy;
  • Providing strategic guidance and coordination on pitching opportunities and managing rehearsal processes;
  • Collaborating with the research team to produce and analyze data on companies, sectors, and countries;
  • Partnering with the knowledge team on submissions to major legal directories and awards, advising practices on promoting their capabilities;
  • Overseeing the production of bulletins and briefings from inception to distribution;
  • Organizing events that enhance the firm's brand and facilitate relationship-building with clients, potential clients, intermediaries, and the media.

The Business Development and Marketing team consists of approximately 50 members across various locations, divided into three primary areas:

  • Business Development and Relationships;
  • Marketing;
  • Communications.

The Business Development Team Assistant plays a vital role within the BD & Marketing team. The ideal candidate should possess a comprehensive understanding of the department's operations and the objectives of the BD & Marketing team. The Team Assistant must be exceptionally organized and proactive, with a proven track record of providing senior-level support with emotional intelligence.

Key Responsibilities:

  • Delivering effective administrative support to the Director of BD & Marketing and team leaders;
  • Coordinating meeting schedules and managing diaries;
  • Preparing necessary documentation promptly for internal and external meetings;
  • Taking minutes during meetings as required;
  • Coordinating logistics for meetings, including venue, attendance, refreshments, and material distribution;
  • Managing travel arrangements, including visas and itineraries, as needed;
  • Processing invoices, purchase orders, and expense claims efficiently;
  • Assisting in the preparation and management of Marketing budgets;
  • Maintaining the BD & Marketing intranet pages, ensuring content is current and accurate;
  • Providing support for major BD & Marketing projects and events;
  • Participating in team meetings to share information and clarify future actions;
  • Organizing team social events;
  • Creating PowerPoint presentations for internal meetings;
  • Conducting regular reporting on team activities and priorities;
  • Tracking team deadlines and assisting in timely delivery.
  • Ensuring compliance with all relevant legal and regulatory obligations.

Required Skills & Experience:

  • Minimum of 1 year of proven experience as a secretary or team assistant;
  • Experience working with high-achieving teams in a fast-paced environment;
  • Preferably experience in a large international organization;
  • Proficiency in Microsoft Office applications - Word, Excel, PowerPoint (intermediate level).
