Front Office Coordinator

Location: Cardiff

Employment Type: Full Time

Work Environment: Office Based

Working Hours: 37.5 hours per week, Monday to Friday, with shifts from 8:15 AM to 4:45 PM or 9:00 AM to 5:30 PM. Occasionally, extended hours may be required for significant events and functions.

Role Purpose:

The Front Office Coordinator will collaborate with the team to deliver exceptional customer service to our clients while providing support to the Team Leader and Business Services Manager. Given that reception and hospitality are central to this role, candidates with experience in corporate reception, hospitality, or transferable skills from retail/customer service will be highly regarded.

Key Responsibilities:

Reception, Hospitality, and Administrative Support

  • Warmly welcome and engage with visitors to the facility.
  • Ensure an outstanding client experience by prioritizing professionalism and customer care.
  • Oversee room bookings, hospitality needs, audiovisual requirements, and parking arrangements.
  • Perform various reception and switchboard tasks as necessary.
  • Efficiently manage a busy meeting room schedule.
  • Conduct daily and weekly inspections of the client suite to maintain high presentation standards.
  • Complete routine administrative tasks, including confirming meeting room reservations, preparing daily schedules, maintaining visitor logs, and organizing parking.
  • Execute data entry tasks to track workload within the service.
  • Arrange refreshments and catering for meetings, events, and functions.
  • Supervise and assist during events.
  • Maintain meeting room standards through regular checks.
  • Manage diaries and plan schedules effectively.
  • Oversee stock levels and manage supplies.
  • Collect and file reprographics requests appropriately.
  • Fulfill photocopying, scanning, and printing requests as needed.
  • Adhere to quality control processes to ensure error-free work.
  • Ensure all equipment is adequately stocked and functioning correctly.
  • Safeguard documents and maintain information security at all times.
