We are seeking an Administrative Operations Coordinator to ensure the seamless functioning of our vibrant office. Your responsibilities will include managing daily office activities, from overseeing facilities and visitor interactions to organizing meetings and coordinating courier services.

Key Responsibilities

  • Maintain and update office policies and procedures.
  • Collaborate with the Property Manager to address maintenance concerns.
  • Supervise reception duties, ensuring a warm welcome for all visitors.
  • Lead initiatives for office relocations, renovations, and refurbishments.
  • Manage office budgets, contracts, and systems, including leases, security, cleaning, and catering services.
  • Oversee IT equipment and mobile phone expenditures.
  • Work with the sustainability team to promote eco-friendly practices within the office.
  • Ensure compliance with health and safety standards, including first aid and fire safety protocols.
  • Develop and implement business continuity and crisis management strategies.
  • Effectively communicate important updates to office staff through appropriate channels.

Candidate Profile

The ideal candidate will have over three years of experience in office management.

A solid CV is required.

You should be fluent in English and possess strong IT skills, particularly in MS Office and Excel.

Exceptional organizational and communication skills are a must.

Attention to detail and strong problem-solving capabilities are essential.

You should be personable, trustworthy, and dependable.

Ability to work independently as well as collaboratively within an international team is important.
