**Summary of the role**:
The Office Coordinator (OC) is part of the Business Support Team.

This role is pivotal in ensuring the smooth and efficient running of the office in London and supporting the hub offices on behalf of the Office Manager and working closely with the EA/PA team.

**Responsibilities**:
To ensure office space remains presentable and free of obstacles from a Health & Safety point of view and notifies Office Manager of any issues. Responsible for ensuring the offices are maintained to a high standard of cleanliness liaising with serviced office provider.

The OC will consistently demonstrate their ability to act when necessary and respond appropriately. The OC establishes priorities and follows through with multiple tasks.

**Office Management**
- Printers are on and filled with relevant sizes of paper.
- All rooms are ready for use.
- Ensure kitchen is stocked with water in coffee machine, coffee pods, tea, milk.
- Ensure office supplied with wipes, handwash materials for staff to use.

Desk Bookings - Learn and manage Robin desk booking system.

Meetings - Work with Business Support Team.
- Know what meetings are happening that day and the guests.
- May assist in collecting guests if they need collecting from Reception.
- Assist with refreshment if required.
- Assist in set up of room.
- Clear rooms between meetings.

Switchboard - Assist in covering phone lines during office hours (9-5) with the rest of the Business Support Team

**Post Handling**
- Liaise with Serviced Office Provider re the post.
- Date, Scan and log all post.
- Follow up if documents are original and need sending off site.
- Manage the sending of post with the services office provider every day.
