Job Overview

You will be required to manage various competing priorities effectively, ensuring that all responsibilities are addressed promptly. Excellent interpersonal skills and a polished, professional appearance are essential. While prior experience in a similar role is advantageous, comprehensive training will be provided.

Key Responsibilities

  • Oversee the reception area to guarantee the smooth operation of clinics.
  • Deliver outstanding customer service, both via telephone and in person.
  • Prioritize daily tasks to ensure timely completion of all duties.
  • Maintain a positive and approachable attitude.
  • Welcome patients and visitors with courtesy and efficiency.
  • Perform a variety of administrative tasks as required.
  • Provide workflow support with appropriate documentation.
  • Participate in team training sessions for ongoing professional development.

About Our Practice

Welbeck Surgery is a welcoming healthcare facility dedicated to delivering exceptional patient-centered care to our community of approximately 5000 patients. Our small, collaborative team is committed to fostering a supportive and enjoyable work environment.

In this role, you will assist patients in accessing the appropriate services or healthcare professionals in a friendly and efficient manner. You will also provide general support to the practice team and represent a positive and welcoming image to patients and visitors, both in person and over the phone. Additional responsibilities will include various administrative tasks to facilitate the effective operation of the practice.

Job Duties

Responsibilities include:

  • Managing the reception area to ensure the efficient running of appointments.
  • Answering phone calls, taking messages, and relaying them appropriately.
  • Processing requests for repeat prescriptions in line with practice protocols.
  • Serving as the primary contact for patients, facilitating communication between patients, healthcare providers, and other team members.
  • Completing all necessary reception and administrative tasks.
  • Opening and closing the practice as needed, ensuring readiness for each session.
  • Assisting with photocopying, scanning, and shredding tasks as requested.
  • Upholding confidentiality at all times.
  • Maintaining a thorough understanding of all practice policies and procedures.
  • Adhering to established protocols.
  • Executing tasks assigned by managers or healthcare providers.
  • Conducting system searches as needed.
  • Keeping the waiting area and notice boards organized.
  • Attending team training events for ongoing development.
  • Assisting with the filing of medical records and results.
  • Participating in protected learning sessions as required.
  • Registering patients in accordance with practice policies.
  • Taking on specialized responsibilities as part of personal development as designated by the practice manager.
  • Providing flexible coverage for staff absences.

Experience and Qualifications

Desirable Experience

  • Familiarity with SystmOne software.
  • Background in a healthcare environment.
  • Experience in administrative roles.

Essential Qualifications

  • Minimum of GCSE education or equivalent.
  • GCSE Mathematics and English (grade C or above).
