Key Responsibilities

  • Oversee the reception area to guarantee that all operations run smoothly and efficiently.
  • Deliver outstanding customer service, both via telephone and in person.

About Our Practice

Welbeck Surgery is a welcoming practice dedicated to providing exceptional patient-centered care to our community of approximately 5000 patients. Our small, cohesive team is committed to fostering a supportive and enjoyable working environment.

In this role, you will be responsible for greeting, assisting, and directing patients to the appropriate services or healthcare professionals in a courteous and effective manner. You will also provide general support to the practice team and project a friendly and positive image to patients and visitors, both in person and over the phone. Additional duties will include various administrative tasks to ensure the smooth operation of the practice.

Responsibilities Include:

  • Managing the reception desk to ensure that all appointments run efficiently.
  • Answering phone calls, taking messages, and relaying them appropriately.
  • Processing requests for repeat prescriptions in line with practice protocols.
  • Serving as the primary contact for patients and facilitating communication between patients, doctors, and other healthcare team members.
  • Completing all necessary reception and administrative tasks.
  • Opening and closing the practice as needed, ensuring that all areas are prepared for the next session.
  • Performing photocopying, scanning, and shredding tasks as requested.
  • Upholding confidentiality at all times.
  • Maintaining a thorough understanding of all practice procedures and policies.
  • Adhering to written protocols in daily operations.
  • Completing tasks assigned by managers or physicians.
  • Conducting system searches as needed.
  • Keeping the waiting area and notice boards organized and up to date.
  • Attending team training events for ongoing development.
  • Assisting with the filing of medical records and results.
  • Participating in protected learning sessions as required.
  • Registering patients according to practice policies and procedures.
  • Taking on a specialized role as part of personal development as designated by the practice manager.
  • Providing flexible coverage for staff absences due to illness or leave.

Experience and Qualifications

Desirable Skills

  • Familiarity with SystmOne software.
  • Background in a healthcare environment.
  • Experience in administrative roles.

Essential Qualifications

  • Minimum of GCSE level education or equivalent.
  • GCSE Mathematics and English (grade C or above).
