Position Overview

We are seeking a dedicated and proactive individual to join our team as a healthcare operations coordinator within the prosthetics division at our organization.

This position is crucial for the effective coordination and oversight of the procurement and administrative tasks associated with the prosthetic clinic services, ensuring that our clinical and technical teams can provide optimal support to our patients.

Key Responsibilities

The successful candidate will be responsible for:

  • Assisting the prosthetist team with administrative tasks, including patient communication, appointment scheduling, and utilizing the Meditech system as required.
  • Generating invoices for completed services.
  • Collaborating with team members to address inquiries from staff, clients, or suppliers in a timely and effective manner.
  • Compiling and reviewing monthly reports on patient engagement and appointment attendance.
  • Tracking and documenting service intervals for high-value items provided through relevant programs.
  • Ensuring that all necessary preparations are made for upcoming appointments.
  • Supporting the Workshop Manager with administrative duties related to inventory management during the absence of the stores administrator, which includes processing purchase orders and managing stock records.

In this role, you will have the opportunity to:

  • Acquire proficiency in our ERP system, X3.
  • Utilize the Meditech clinical management system.

Job Duties

Purpose of the Role:

To coordinate and manage the procurement and administrative functions of the prosthetic clinic service, thereby supporting the clinical and technical teams in providing efficient patient care.

Responsibilities Include:

  • Assisting the branch manager and stores administrator by preparing invoices for services rendered, ensuring accurate identification of chargeable items, and collaborating with the finance team to meet processing timelines.
  • Providing administrative support to the prosthetist team, including patient outreach, appointment management, and utilizing the Meditech system as necessary. This also involves assisting with inventory management tasks when the stores administrator is unavailable.
  • Working closely with the stores administrator and clinical teams to effectively address inquiries from staff, clients, or suppliers.
  • Leading efforts to manage applications for veterans, including trial units and returns for high-value items.
  • Maintaining records related to servicing requirements for specific products.
  • Generating and verifying standard monthly activity reports to be submitted to management.
  • Ensuring readiness of jobs for the following day's appointments.

Candidate Profile

Required Experience:

  • Proficiency in PC-based office applications.
  • Strong skills in Microsoft Excel.
  • A willingness to learn and adapt within a healthcare environment.

Preferred Experience:

  • Familiarity with invoicing and reporting processes, with training provided.
  • Excellent customer service abilities.
  • A collaborative team player.
