Position Overview

We are pleased to present an opportunity for the role of Administrative Coordinator within our Pediatric Oncology Unit.

This specialized unit provides outpatient services including chemotherapy, diagnostic tests, and interventions for young patients aged 0-18 diagnosed with oncology and hematology conditions.

The unit is equipped with 6 treatment chairs and 4 beds, operating from 8 AM to 8 PM on weekdays and 8 AM to 4 PM on Saturdays.

Candidates should possess prior experience in office administration and reception duties, along with strong communication skills and proficiency in typing. The ability to work independently and effectively engage with patients, families, and healthcare professionals is essential.

The primary responsibilities include supporting the clinical team and providing administrative and reception services.

Specific duties include:

  • Facilitating clerical support during patient admissions, transfers, and discharges.
  • Welcoming patients and their families to the unit, ensuring accurate data entry into the system.
  • Maintaining organized and complete patient case notes prior to their transfer to other departments.
  • Efficiently managing incoming and outgoing correspondence.
  • Ensuring timely and accurate scheduling of outpatient appointments.
  • Regularly updating patient information in the Careflow system.
  • Assisting the clinical team with the procurement and organization of essential supplies and documentation.

Qualifications and Experience

Required

  • GCSEs in Mathematics and English or equivalent qualifications.
  • Proficient IT skills.
  • Experience in a reception or administrative role.
  • Familiarity with data entry and retrieval processes.

Preferred

  • Experience in a fast-paced and dynamic work environment.
  • Previous experience in a healthcare setting is advantageous.

Communication Skills

Required

  • Strong communication abilities with both adults and children.
  • Excellent telephone etiquette.
  • Understanding of confidentiality and information governance principles.
