Job Summary

We are seeking a highly organized and detail-oriented HR Coordinator to join our team at Holroyd Howe. As an HR Coordinator, you will be responsible for providing administrative support to our HR department, ensuring the smooth operation of our recruitment and employee administration processes.

Key Responsibilities
  • Employee Administration:
    • Manage the recruitment process, including creating offer letters, terms and conditions, and ensuring all necessary documentation is completed.
    • Coordinate with departmental managers to share relevant information and ensure compliance with company policies.
    • Request and follow up on references for all employees, ensuring they are filed and any concerns are addressed.
    • Maintain up-to-date personnel files, ensuring all personal data is correctly filed and stored.
    • Close and store leavers' files, ensuring all necessary documentation is completed.
  • General Administration:
    • Provide general administrative support, including salary and bonus review letters, change of contract letters, and general correspondence.
    • Deal with telephone and email queries in a courteous and professional manner.
    • Assist with ad hoc HR and recruitment projects and duties as required.
    • Maintain department administration in a clear, focused, and easily accessible manner.
  • Support and Administration:
    • Co-manage the administration of long and short-term sickness, including correspondence with employees, obtaining doctors' reports, and arranging company doctor appointments.
    • Take notes during formal meetings and hearings as required.
    • Develop absence management skills to deliver advice, guidance, and support to employees.
  • Monthly Tasks:
    • Produce monthly statistical reports on right to work compliance, zero hours, Chef's Eye, DBS, and safeguarding checks.
    • Produce people updates on a monthly basis, communicating joiners, leavers, and labour turnover levels.
    • Report to the Director of Catering on missing and expired DBS certificates and collate missing DBS numbers and upload into People Matters.
    • Record R&R activities, including employee of the month, birthday recognition, and any additional people activities.
    • Update People Dashboard and departmental scorecards.
    • Support and deliver training as required and produce a monthly training report.
    • Review and update policies, procedures, and guidance as required.
    • Any other project work requested by the Director of Catering.
    Requirements
    • Experience in an administration role, preferably HR in a hospitality environment.
    • High attention to detail and data entry accuracy.
    • Experience of customer service role, handling difficult requests.
    • Ability to develop and maintain effective working relationships across all levels.
    • Customer-focused attitude.
    • Ability to organize, plan, and prioritize effectively.
    • Honest and trustworthy, with a down-to-earth consultative/collaborative style.
