Mainstay Facilities is seeking a dedicated FM Scheduler to enhance our operational team in Nottingham. The Scheduler will play a pivotal role in overseeing incoming communications, workforce allocation, and urgent maintenance requests from our clients.
Reporting directly to the FM Administration Lead, the ideal candidate will collaborate within the Contract Management Team and undertake the following responsibilities:
- Organize scheduled maintenance activities for Engineers
- Coordinate work orders with technical staff
- Manage all urgent repair requests, liaising with all necessary stakeholders
- Respond swiftly to emergencies reported by clients, ensuring prompt engineer deployment
- Maximize efficiency in location and response times
- Delegate planned maintenance duties to Subcontractors
- Address customer inquiries and concerns with professionalism
- Ensure all maintenance tasks and urgent work are recorded in the Maximo system
- Oversee Soft Service Contractors for various assignments
- Maintain consistent communication with clients
- Assist Maintenance Managers in achieving contract objectives
- Monitor contract performance schedules and follow up on subcontractor reports and estimates
- Achieve team performance goals and ensure Service Level Agreements (SLAs) are met
Candidate Qualifications:
- Proficient in IT applications such as MS Office and CAFM Systems like Maximo
- Prior experience in Facilities Management
- Exceptional organizational abilities and attention to detail
- Capacity to identify issues and implement appropriate solutions
- Background in customer-facing roles with outstanding communication skills
- Ability to operate effectively in a dynamic environment and make prompt decisions
- Understanding of financial performance penalties in contracts
