We are seeking a Facilities Coordinator to enhance our team and innovate service delivery at client locations, emphasizing workplace and customer satisfaction. In this progressive role, you will be instrumental in supporting the total facilities management service, primarily based at the designated site. This position is highly customer-focused, and you will assist the FM Delivery Manager in ensuring that all contractual obligations are met efficiently. The successful candidate will operate from the client’s site and report directly to the FM Delivery Manager. Compensation will be commensurate with experience and qualifications.

Role Purpose

  • Implementing facilities management services in alignment with contractual service levels, ensuring all client requirements are fulfilled while maintaining site safety and operations.
  • Coordinating contractors and visitors on-site, conducting daily inspections, and reporting to the helpdesk, along with performing weekly compliance checks, including fire safety, water hygiene, and emergency lighting.
  • Maintaining effective communication channels between the client and Integral Management for seamless day-to-day operations.
  • Managing reception duties and overseeing visitor interactions at the main site.

Accountabilities & Responsibilities:

  • Delivering support in an efficient and effective manner.
  • Promoting high levels of satisfaction among customers and end-users by anticipating and promptly addressing their service needs.
  • Overseeing planned preventative maintenance (PPM), monthly applications, and work-in-progress (WIP) management.
  • Assisting in the management of subcontractors.
  • Aiding in the preparation of monthly performance reports.
  • Ensuring compliance with local regulations, as well as Integral and client best practices, policies, and procedures.
  • Handling reception desk responsibilities and visitor management.
  • Supporting emergency preparedness and crisis management on a site-specific basis.
  • Ensuring timely delivery of PPM in accordance with agreed timelines and monitoring vendors to guarantee service delivery aligns with key performance indicators (KPIs) and service level agreements (SLAs).
  • Monitoring and ensuring that office cleanliness and housekeeping are maintained to the highest standards.
  • Communicating in an open, honest, and transparent manner, tailoring messages to meet the needs of specific audiences.

Essential Skills, Experience, and Qualifications:

  • Familiarity with the facilities maintenance sector.
  • Previous experience in a comparable role.
  • Capability to manage multiple administrative tasks effectively.
  • Courteous and helpful demeanor with strong verbal and written communication skills.
  • Ability to prioritize tasks and meet deadlines with minimal supervision.
  • Proactive in identifying and resolving issues related to the facility.
  • Competent in managing and supporting crisis situations.
  • Self-motivated with the ability to work independently.
  • Excellent administrative skills.
