About the Role

We are seeking a highly organized and efficient Administrative Assistant to join our team at Lincolnshire Partnership NHS Foundation Trust. As an Administrative Assistant, you will play a vital role in supporting the day-to-day operations of our organization.

Key Responsibilities
  • Gather and input accurate information from various sources onto our database.
  • Produce basic reports, including graphs and tables, as directed.
  • Communicate sensitively with individuals, maintaining strict confidentiality standards.
  • Perform general administrative duties, including answering phone calls, taking messages, and dealing with inquiries.
  • Typing and producing letters, reports, and emails to a high standard of quality and accuracy.
  • Responsible for making room bookings and maintaining the room booking diary.
  • Assist in scheduling appointments and diary management using Microsoft and IAPTus, as well as other digital formats.
  • Assist in stock control and electronic ordering of office equipment and stationery, and the subsequent electronic receipting of received supplies.
  • Assist in the proper functioning, maintenance, and fault reporting of central equipment used by the team, including photocopiers, printers, and computers.
  • Record all data using the appropriate information system or manually, where required, including data entry, word processing, scanning of documents for e-noting, and storage.
  • Comply with and carry out safe practice in accordance with Trust policies and procedures, and other relevant national and local guidance.
  • Assist colleagues in setting up remote meetings throughout the organization, where appropriate.
  • Take key responsibility for the smooth running and management of appointments.
  • Ensure that service users and visitors to the building and teams within are dealt with in an efficient and friendly manner.
Person Specification
  • Essential:
    • NVQ level 2 Business and Administration or equivalent.
    • ECDL or equivalent, including basic knowledge of all MS Office packages, including Microsoft Office calendar for diary management.
    • GCSE in English, grades A-C or grade 9-4 or level 2 Literacy or equivalent.
  • Experience:
    • Relevant experience of working in a general administrative background.
  • Desirable:
    • Previous experience working within a NHS Trust.
