Key Responsibilities:

  • Serve as the primary contact for departmental inquiries, addressing routine and specialized questions in a courteous manner, and relaying pertinent information to stakeholders
  • Input and maintain data within information systems, along with managing related correspondence
  • Oversee data entry accuracy and generate reports from computerized systems as needed
  • Coordinate assessments and reviews for Nurse Assessors, including communication with individuals, families, and relevant professionals
  • Prepare and compile necessary documentation to support service delivery
  • Assist in the administrative setup of care packages as required
  • Support administrative tasks related to Liberty Protection Safeguards
  • Organize departmental meetings, take minutes, manage calendars, and plan administrative tasks as necessary
  • Address invoice inquiries promptly and efficiently
  • Adhere to service guidelines and comply with established policies, procedures, and quality standards
  • Manage incoming and outgoing communications, ensuring accurate message delivery
  • Maintain office supply levels, notifying management of low stock
  • Sort and manage all mail to comply with information governance standards
  • Uphold the department's image by ensuring notices and materials are current and well-presented
  • Address complaints effectively, escalating issues when necessary, and ensuring adherence to policy
  • Perform document processing tasks, including word processing and photocopying as required
  • Train new staff on office systems and departmental processes
  • Conduct research and development tasks as directed
  • Work independently and unsupervised within defined policies and timelines
  • Engage with peers and professionals to enhance work quality
  • Demonstrate a commitment to performance improvement and goal achievement
  • Exhibit adaptability and resilience in the face of change
  • Ensure compliance with all mandatory training requirements
  • Undertake additional duties as assigned by management

Required Skills for the Position:

Communication Skills:

  • Exceptional communication abilities, utilizing various methods including face-to-face, telephone, and digital platforms
  • Strong writing skills, including effective letter composition

Analytical Skills:

  • Maintain relevant trackers in accordance with established processes
  • Evaluate package costs from multiple providers

IT Skills:

  • Proficient in IT, particularly Microsoft Excel and Word
  • All staff are expected to utilize necessary national and local IM&T systems for their roles

Planning & Organizational Skills:

  • Ability to effectively plan and prioritize workload to meet competing deadlines
  • Organize workflows to accommodate demand
  • Schedule and coordinate meetings and case conferences

Physical Skills:

  • The role requires prolonged use of a VDU
  • Occasional lifting of files may be necessary
  • Ability to sit in a confined position for extended periods
