Key Responsibilities

  • Serve as a primary contact for departmental inquiries, addressing routine and specialized questions with professionalism and courtesy
  • Input and maintain data within information systems, along with necessary correspondence
  • Oversee data entry and generate reports from computerized systems as needed
  • Coordinate assessments and reviews for Nurse Assessors, liaising with individuals, families, and relevant professionals
  • Prepare and compile documentation to support service delivery
  • Assist in the administrative setup of care packages as required
  • Support administrative functions related to Liberty Protection Safeguards
  • Organize departmental meetings, including minute-taking and calendar management
  • Address invoice inquiries promptly and efficiently
  • Comply with service guidelines and established policies to ensure quality standards
  • Manage incoming and outgoing communications, ensuring accurate message delivery
  • Maintain office supply levels and report shortages to management
  • Sort and handle all mail in accordance with information governance standards
  • Promote a positive departmental image by ensuring that all notices and materials are current and well-presented
  • Resolve complaints where possible, escalating issues as necessary
  • Perform document processing tasks, including word processing and photocopying
  • Train new staff on office systems and departmental processes
  • Conduct research and development tasks as directed
  • Work independently within defined policies and procedures to meet deadlines
  • Engage with peers and professionals to enhance work quality
  • Demonstrate a commitment to performance improvement and goal achievement
  • Exhibit adaptability and resilience in the face of change
  • Ensure compliance with all mandatory training requirements
  • Undertake additional duties as assigned by management

Communication Skills

  • Exceptional communication abilities, utilizing various methods including face-to-face, telephone, and digital platforms

  • Update relevant tracking systems according to established processes
  • Analyze and compare service costs from multiple providers

IT Proficiency

  • Excellent IT skills, particularly in Microsoft Excel and Word
  • All personnel are expected to utilize necessary national and local information management systems

Planning and Organizational Skills

  • Ability to effectively plan and prioritize workload to meet competing deadlines
  • Organize workflows to accommodate demand

Physical Requirements

  • Prolonged use of a VDU may be necessary
  • Occasional lifting of files may be required
  • Ability to sit in a confined position for extended periods
