Job Overview

We are seeking a dedicated and proactive individual to deliver administrative and secretarial assistance within the Acute Medicine department. Strong written and verbal communication skills are crucial, along with the ability to collaborate effectively within a team. The ideal candidate should possess proficiency in computer applications, including Word, Excel, Outlook, HISS, and Nexus. Additionally, the ability to perform clinical transcription from digital dictation is required. The successful candidate will also be responsible for providing coverage for medical secretaries, which includes managing telephone inquiries, handling consultant and doctor-related administration, processing emails, sorting mail, retrieving patient records, and organizing clinical documentation. A flexible and approachable demeanor is essential for this role.

Main Responsibilities

The primary function of the Administrative Support Secretary is to offer a comprehensive secretarial, administrative, and informational service to the Consultants regarding their NHS responsibilities and to the associated medical team. This role involves collaboration with the medical and nursing staff in Acute Medicine and encompasses a variety of specific tasks that necessitate proficiency in word processing, typing from dictation, data management, information technology, communication, and organizational skills. A key aspect of this position is the ability to prioritize and manage one's workload independently.

About the Organization

Blackpool Teaching Hospitals NHS Foundation Trust operates a medium-sized District General Hospital, providing essential secondary healthcare services. The hospital features approximately 900 beds, catering to a wide range of medical specialties, including Acute Medicine and various surgical disciplines. The facility also includes a dedicated Women and Children's Unit, offering both consultant-led and midwife-led maternity services.

The Administrative Support Secretary will be responsible for delivering administrative and secretarial services to consultants and their clinical teams within the Division of Integrated Medicine and Patient Flow.

The post holder will collaborate with other medical secretaries and provide cross-coverage during periods of staff absence.

Qualifications and Skills

Essential

  • Minimum of 5 GCSEs at grades A-C or equivalent, including English
  • Strong command of the English language
  • ECDL or equivalent IT qualification

Desirable

  • NVQ Level 3 in Business Administration
