An exciting opportunity has emerged to become a vital member of a dynamic and innovative team within the Haematology Division. This role is part-time, comprising 16 hours spread over three days, with flexibility regarding the specific days of work.
If you are a dedicated, skilled, and proactive individual, we invite you to consider joining our secretarial team, which is an integral part of a committed and industrious Unit.
The successful applicant will be responsible for assisting the medical secretaries and the clinical team, providing essential support during periods of staff absence.
Key Responsibilities
- Deliver a high-quality clerical service for the Haematology team.
- Facilitate audio transcription of clinic letters, results, and discharge summaries.
- Support medical secretaries throughout the department with administrative tasks.
- Manage appointment scheduling internally and through the e-RS system.
- Engage with patients and medical personnel via telephone and in person.
- Perform various administrative duties as required.

General Requirements
- Quality Assurance: Each staff member is expected to contribute to the achievement of quality objectives within a Hospital-Wide Quality Assurance Framework.
- Confidentiality: Staff must ensure the confidentiality of patient information and comply with the Data Protection Act.
- Health and Safety: Adherence to all relevant Health and Safety legislation and procedures is mandatory.
- External Interests: Staff must disclose any external interests that may conflict with their duties.
- Fire Safety Training: Attendance at annual fire safety training is a statutory obligation.
- Flexibility: Job descriptions are intended to be flexible and may be revised in consultation with the post holder to reflect changing requirements.
Qualifications
Essential:
- Proficient in word processing, with qualifications equivalent to RSA III/NVQ level 3.
- Possession of ECDL or equivalent qualifications.
Desirable:
- City and Guilds Certificate in Medical Terminology or equivalent experience.
- Experience with G2 systems.
Knowledge, Skills, and Experience
Essential:
- Proven ability to work effectively under tight deadlines.
- Excellent communication skills.
- Strong numerical abilities.
- Good command of English, including punctuation and grammar.
Desirable:
- Experience in providing secretarial services within a healthcare setting.
- Familiarity with NHS IM&T systems for data entry.
