Founded in 2015, Music Vine is a Leeds-based start-up recognized as a leading platform for music licensing tailored for video creators. Our mission is to democratize music licensing, providing access to high-quality music for productions of all sizes while ensuring fair compensation for artists.

In January 2021, we introduced Uppbeat, a new platform designed to transform how content creators, particularly YouTubers, access music, while enabling musicians to benefit from a rapidly growing market.

Role Summary

We are excited to present an opportunity for an HR and Office Operations Coordinator to become a vital part of our team at Music Vine and Uppbeat. This position focuses on cultivating a supportive and engaging workplace for our talented staff while ensuring the seamless operation of our office environment.

In this diverse and dynamic role, you will manage a variety of responsibilities, from daily HR functions to overseeing office logistics. Your ability to balance multiple tasks while maintaining exceptional organization and attention to detail will be crucial for your success. You will play a key role in shaping our workplace culture, ensuring that team members feel valued, supported, and engaged.

A significant aspect of this role will involve HR management, including recruiting new talent, onboarding processes, and managing employee relations and benefits. You will also be responsible for ensuring the office operates efficiently, coordinating facilities and supplies, and adhering to health and safety regulations.

Collaboration is essential in this position. You will work closely with our leadership team to align HR strategies with business objectives and support various departments in meeting their operational needs. Your proactive and engaging approach will contribute to our mission of fostering a vibrant, productive, and enjoyable workplace.

Key Responsibilities

  • Talent Acquisition: Lead the recruitment process from inception to completion, including posting job advertisements, reviewing applications, conducting initial interviews, and coordinating departmental interviews to ensure an effective hiring process.
  • Onboarding and Training: Manage the onboarding experience for new hires, ensuring a positive and comprehensive introduction to the organization. Facilitate ongoing training and development opportunities for staff.
  • HR Management: Serve as the primary contact for all HR-related inquiries, assisting colleagues with policy questions and addressing any issues with empathy and professionalism.
  • Office Management: Ensure the office operates smoothly and efficiently by coordinating with building management, maintaining compliance with regulations, and ensuring a welcoming environment for team members and visitors.
  • Team Events Coordination: Plan and organize team events, such as quarterly meals and holiday outings, ensuring these gatherings are enjoyable and inclusive for all team members.
  • Financial Coordination: Collaborate with accountants on financial operations, providing necessary reports for bookkeeping and assisting with invoice review and payment.
  • Workplace Improvement: Collect and act on team feedback to continuously enhance the workplace environment. Implement initiatives that promote a positive and inclusive culture.
  • Industry Awareness: Stay informed about trends and best practices in HR and office management, implementing relevant strategies to keep our operations innovative.
  • Employee Engagement Programs: Design and implement programs that reflect our company values, regularly assessing their effectiveness and making improvements to keep the team motivated and connected.
  • Employer Branding: Collaborate with the marketing team on initiatives to enhance Music Vine's profile as an employer, ensuring we attract top talent.

Required Experience & Skills

All necessary training related to our industry and products will be provided.

Ideal candidates should possess:

  • A minimum of 3-5 years of experience in employee engagement, human resources, or a related field.
  • Strong communication and interpersonal abilities.
  • Proven skills in data analysis and report generation.
  • Creative problem-solving capabilities.
  • Experience with employee engagement tools is advantageous.
  • Ability to work collaboratively within a small team setting.
  • High emotional intelligence to navigate team interactions with empathy, fostering positive relationships.
