TasksYou will havea varied workload spanning daytoday operations and moreprojectbased work that contributes to improved service levels andultimately the smooth running and growth of the practice.
Youll report to our Business Operations Lead& Client Manager supporting in coordinating centralworkflows processes and practice management operations.
The majority of your work will be internalwithin Holder and Combes but you will interact with clientsdirectly from time to time.
Youll respond to newenquiries through our website and assist the team in onboarding newcustomers. You will assist in the initial steps of obtaining andprocessing new client information for the purpose of commencingtheir engagement ensuring that KYC and AML processes are followed.
As a new client is engaged you will assist increating records for them in our client database and ensuring thatthey are included in the relevant workflows for the services theyhave requested. While you are not responsible for collecting orprocessing at every stage of this process you will be the onecoordinating to ensure its done promptly.
Youllbe responsible for ongoing monitoring of our client list anddatabase to ensure the integrity of the data is maintained thereare no omissions errors or duplications and changes to clientsdetails and services are accurately logged.
Youll be responsible for liaising with ourcompanies annually and updating both our records and the CompaniesHouse register with any relevant changes. This will also includeCS01 filings to Companies House.
Managing clientbilling will form a significant part of your role ensuring clientinvoices are paid on time and reconciled accurately in Xero.
Initially youll be working on prioritiesidentified by our Business Operations Lead going away to researchthe best solutions to help them make the right decisions. As yourknowledge of the business grows youll be expected to contributeyour own ideas and proactively identify opportunities to improvebusiness processes.
This is a fully remote andwe can offer lots of flexibility in terms of the hours and days youwork to fit around your other commitments.
Therole will require at least 30 hours a week spread across 4 days butcould also be fulltime ifdesired.
RequirementsMostimportantly you will have previous experience working in anadministration or operations role within an accountancy or legalpractice (or similar industry that requires legal compliancechecks).
You will need to be familiar with KYCand AML compliance and ideally HMRC. Well want to hear about therole you played in onboarding new clients and the experience youvehad with HMRC.
Youll have experienceimplementing process change within a previous role. Youll be ableto tell us about a time when you have had to train or manage a teamthrough a significant change in operations.
Youll need to develop strong internalrelationships to build influence to ensure processes are followed.Well want to hear about how you convinced tricky stakeholders tocomplete their admin in past roles.
In manyinstances youll be dealing with or acting on behalf of our clients.You must have a clientcentric approach to your work. Well want tolearn about how youve prioritised client needs in the past.
Youll need basic IT skills across the usualtools across the usual Microsoft or Google workspaces i.e.Excel/Sheets.
