Facilities and Reception Coordinator

Role OverviewThe ideal candidate will play a crucial role in delivering operational excellence across all Facility Management services, ensuring that client satisfaction remains paramount through a proactive and high-quality service approach.
Key Responsibilities- Communication: Maintain effective communication with clients, colleagues, building occupants, and management at all times.
- Meeting Room Management: Process and oversee requests for meeting and training room bookings, ensuring all specifications are met, including AV requirements, seating arrangements, hospitality, and climate control.
- Helpdesk Management: Log, track, and update helpdesk requests for faults and necessary enhancements.
- Reception Administration: Manage and keep the Reception filing system current, adhering to company procedures.
- Security Compliance: Ensure adherence to client security and emergency protocols, actively participating in building evacuation procedures as outlined in the Incident Control guidelines.
- Collaboration with Security: Work closely with security personnel to maintain a high level of service for all building users.
- Safety Standards: Uphold security and safety protocols, ensuring visitors are escorted and contractors are monitored appropriately.
- Issue Reporting: Continuously communicate building-related issues to end users, clients, and the management team, escalating urgent matters to the Facilities Manager.
- Office Supplies Management: Oversee the monitoring and procurement of office supplies.
- Health & Safety Compliance: Adhere to the Health & Safety Policy of the client and CBRE, reporting any non-conformances or improvement opportunities to the Facilities Management Team.
- Mail Room Operations: Conduct mail room tasks, including the receipt, sorting, and distribution of incoming and outgoing mail, ensuring organization and cleanliness.
- Waste Management: Coordinate site waste and recycling initiatives.
- Fire Safety Coordination: Collaborate with the landlord to perform statutory fire testing and related checks.
- HSE Compliance: Follow Health, Safety, and Environmental requirements as outlined in the Service Level Agreement and company policies.
- Emergency Response: Act as a Fire Marshall as needed for emergency control activities.
- Industry Knowledge: Maintain a strong understanding of the facilities management sector.
This role is essential in ensuring the smooth operation of facilities management services, contributing to a safe and efficient working environment for all stakeholders.
