About the Role

We are seeking a highly organized and detail-oriented Facilities Coordinator to join our team at Motion Pictures Solutions (MPS). As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day operation of our facilities.

Key Responsibilities
  • Front Desk Management: Greet visitors, issue passes, and maintain a clean and welcoming reception area.
  • Security Protocols: Adhere to and enforce strict security measures to ensure the safety and security of our facilities.
  • Collaboration: Work closely with other departments to provide seamless operation of the reception and overall office.
  • Email Management: Manage the reception and facilities email inbox, handle queries, and execute tasks as needed.
  • Office Supplies: Coordinate office supplies, monitor inventory levels, and ensure timely reorders.
  • Pass Management: Create and manage passes for employees, visitors, and contractors.
  • Health and Safety: Work closely with the H&S Consultant to ensure compliance with relevant health and safety regulations.
  • Induction and Training: Conduct office tours, provide security briefings, and ensure new employees are familiar with the office layout and security protocols.
  • Maintenance: Regularly check facilities, identify repair or renovation needs, and coordinate necessary jobs.
  • Mail and Courier Coordination: Receive, arrange for collection, and distribute parcels within the MPS offices.
Requirements
  • Personal Profile: Previous experience as a Receptionist or Facilities Assistant or Coordinator, customer service background, and office and facilities administration and support.
  • Competencies and Behaviours: Brand Ambassador, Communication, Customer Focus, Professionalism, Organisation and Multitasking, Time Management, Adaptability, Problem-Solving, Interpersonal Skills, Confidentiality and Discretion, Technical Proficiency, Attention to Detail, Cultural Awareness and Sensitivity.
  • Skills and Knowledge: Familiarity with office software, good knowledge of facilities management operations, understanding of safety regulations in offices, sound judgement, and ability to think quickly during emergencies.
