About the Role

Pareto Facilities Management is seeking a highly organized and detail-oriented Facilities Management Coordinator to join our team. As a key member of our facilities management team, you will be responsible for coordinating various aspects of facility operations, ensuring smooth communication between clients, subcontractors, and our facilities management team.

This is an ideal development role for someone looking to progress their career within the FM sector and has a background in minor projects and contract coordination.

Key Responsibilities
  • Client Management: Serve as the primary point of contact for clients, addressing inquiries and resolving issues promptly.
  • Vendor Management: Collaborate with suppliers to generate quotes, consolidate supply chains, and ensure competitive market rates for high-cost works.
  • Communication: Maintain regular communication with clients to ensure their requirements are met and expectations exceeded.
  • Facility Services: Coordinate and schedule facility services such as maintenance, repairs, and inspections according to client needs and contract terms.
  • Service Delivery: Work closely with vendors and internal teams to ensure timely and efficient service delivery.
  • Reporting: Monitor the progress of work orders and service requests, providing updates to clients as needed.
  • Record Keeping: Prepare and maintain accurate records of client interactions, service activities, and account documentation.
  • Reporting: Assist in the preparation of reports, presentations, and proposals for clients and internal stakeholders.
  • Financial Management: Manage client billing and invoicing processes, ensuring accuracy and timely submission.
  • Performance Metrics: Track and report on service delivery performance metrics, ensuring compliance with client contracts and service level agreements (SLAs).
  • Process Improvement: Identify areas for improvement in service delivery and collaborate with the team to implement enhancements.
  • WIP Management: Manage and monitor WIP in conjunction with the helpdesk administrator.
  • Work Order Management: Monitor all Work Orders generated via CAFM system (Corrigo) and ensure they are met within agreed SLAs.
  • Remedial Quotations: Review and summarize all job sheets submitted by subcontractors, relaying pertinent information to the client.
  • Quotations: Produce remedial quotations for the client.
  • Minor Works: Produce minor works quotations as required by the client.
  • Team Support: Ability to step up to cover Account Manager in periods of absence and cover helpdesk coordinator on day-to-day helpdesk tasks.
Requirements
  • Experience: Minimum of 2-4 years of experience in facilities management coordination.
  • Industry Knowledge: Experience in facilities management or related industries.
  • Process Knowledge: Familiarity with building maintenance processes and vendor management.
  • Contract Management: Knowledge of contract management and budget oversight.
