About the Role

We are seeking a highly motivated and experienced Workplace Experience Coordinator to join our team at Pareto Facilities Management. As a key member of our team, you will be responsible for delivering exceptional customer experiences and ensuring the smooth operation of our facilities.

Key Responsibilities
  • Provide Exceptional Customer Service: Deliver outstanding customer experiences to all employees, contractors, and vendors, ensuring their needs are met and exceeded.
  • Lead Meeting Room Management: Oversee the management of meeting rooms, AV equipment, and supplies, ensuring seamless execution of events and meetings.
  • Build and Maintain Relationships: Foster strong relationships with customers, internal stakeholders, and external suppliers, resolving service issues and acting as an ambassador for Pareto Facilities Management.
  • Front of House Lead: Serve as the first point of contact for colleagues, new hires, and visitors, creating a warm welcome and supportive environment that enhances the overall experience.
  • Collaborate with Cross-Functional Teams: Work closely with People Operations, Biztech, Communications, and other support functions to provide a first-class experience to all employees and support the creation of a great place to work.
  • Support Onboarding: Assist with the onboarding process for new hires across the EMEA region, ensuring consistency and a continuous improvement process is in place.
  • Maintain Location SOPs: Ensure all location standard operating procedures, databases, and communication details are up-to-date and accurate.
  • Emergency Response: Respond to emergency situations in a calm and efficient manner, summoning appropriate assistance and making notifications as required.
  • First Aider/Fire Warden: Provide first aid and fire safety support as needed.
  • Accident and Incident Reporting: Log accidents, incidents, and near misses on site via the Pareto portal.
  • Ad-Hoc Requests: Action guest and employee requests as needed.
Requirements
  • Excellent Communication Skills: Possess excellent communication, coaching, and feedback skills.
  • Experience in Fast-Growing Environments: Have experience working in fast-growing startup environments, hotel management, or similar.
  • Workplace, Safety, or Facilities Management Experience: Possess specific experience in workplace, safety, or facilities management.
  • Ability to Multitask: Demonstrate the ability to multitask, prioritize, and work under pressure in a fast-paced environment.
  • Customer Service Experience: Have proven experience in a customer service environment.
  • Technical Skills: Be proficient in Google applications, including Google Docs, Sheets, Slides, Calendar, and Drive.
