Role Overview

We are seeking a highly motivated and experienced Contract Coordinator to join our dynamic team. In this role, you will play a crucial part in ensuring the smooth operation and delivery of services to our valued clients. You will be responsible for managing client accounts, coordinating facility operations, and fostering strong relationships with both internal teams and external stakeholders.

Key Responsibilities

  • Serve as the primary point of contact for assigned clients, addressing inquiries promptly and effectively resolving issues.
  • Maintain regular communication with clients to understand their needs, ensure satisfaction, and exceed expectations.
  • Coordinate and schedule facility services such as maintenance, repairs, and inspections, adhering to client contracts and service level agreements (SLAs).
  • Collaborate closely with vendors and internal teams to ensure timely and efficient service delivery.
  • Monitor the progress of work orders and service requests, providing updates to clients as needed.
  • Prepare and maintain accurate records of client interactions, service activities, and account documentation.
  • Assist in the preparation of reports, presentations, and proposals for clients and internal stakeholders.
  • Manage client billing and invoicing processes, ensuring accuracy and timely submission.
  • Track and report on service delivery performance metrics, identifying areas for improvement and implementing enhancements.

Skills and Qualifications

  • Proven experience in account coordination or facilities management within a similar industry.
  • Strong understanding of building maintenance processes and vendor management practices.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Proficiency in Microsoft Office Suite and relevant software applications.
  • Ability to work independently and as part of a team in a fast-paced environment.
