Job Description:

We are seeking an experienced Facilities Coordinator to join our busy and dynamic team in London. The successful candidate will be responsible for the smooth logistical operation of our office, with particular focus on maintenance, liaison with contractors, and coordination of the Front-of-House and kitchen.

Key Responsibilities:

  • Support a Senior partner to ensure that the practice is compliant with all H&S regulations and legal obligations, coordinating 6 monthly H&S meetings.
  • Reviewing and approving RAMS, raising permits, and working with the building management team.
  • Ensuring that all H&S risk assessments and policies are kept up to date.
  • Coordinating the evacuation procedure, liaising with building management on fire safety.
  • Coordinating an annual Planned Preventative Maintenance programme and acting upon ad hoc issues that may arise.
  • Supported by the Head of IT, reviewing service contracts.
  • Acting as the main point of contact with building management, including creating permits, booking loading bay, and raising customer service requests as required.
  • Overseeing ordering supplies, daily moving of equipment and furniture.
  • Overseeing waste management, cleaning programme, and other environmental initiatives.

Office Coordination:

  • Ensuring that the office environment and on-site storage facilities are always presentable and in a good working order to the standard expected by the company.
  • Implementing practical sustainable solutions wherever possible, reviewing waste and recycling figures monthly, and implementing energy efficiency.
  • Working with HR to arrange social activities and events, both internal and external.
  • Working with the Head of Finance to meet budgets, overseeing purchasing, raising purchase orders, and processing invoices for payment.
  • Ensuring contacts and filing are maintained and updated as required, including all service contracts and records.
  • Ensuring cover has been agreed prior to taking holiday or being absent from the office and thorough handover is carried out.

Requirements:

  • Experience working within a building/facilities department essential.
  • Fire Marshal & First Aider essential.
  • A full clean UK driving license would be preferable.
