Our client is a well-regarded entity in their sector, excelling in clinical consulting services.


The ideal candidate will have a solid background in office coordination tasks, demonstrating reliability and trustworthiness, along with the capability to take initiative.

Success in this role requires the ability to work independently as well as collaboratively within a team.


As an Office Coordinator, your responsibilities will include:

  • Establishing, maintaining, and evaluating office systems to ensure efficient operations.
  • Exhibiting a discreet, confidential, and professional demeanor at all times.
  • Handling inquiries as directed by the Practice Director.
  • Participating in weekly meetings regarding waiting lists and executing follow-up actions as instructed.
  • Creating and organizing clinical files as necessary and ensuring they are well-maintained.
  • Archiving documents and keeping the archiving system current.
  • Managing a schedule of court dates (both in Excel and paper format).
  • Overseeing personnel files.
  • Typing appointment letters, medicolegal reports, and assessment and discharge documents.
  • Ensuring that office supplies are adequately stocked and organized.
  • Setting up and maintaining clinical and other relevant files.
  • Conducting both telephone and in-person communications with patients to arrange, confirm, and manage clinical appointments, as well as with business associates.
  • Assisting clinical staff to ensure the smooth operation of clinics.
  • Maintaining a petty cash system for everyday purchases of miscellaneous items.
  • Occasionally, additional tasks and responsibilities may be assigned that align with the role, which could include off-site duties.
  • The selected candidate will be required to sign a Confidentiality Agreement.
This is a part-time position, requiring 21 hours of work per week. Flexibility regarding working days and hours can be discussed during the interview process.
