Position Overview

We are seeking to hire a skilled Reception Coordinator to join our dedicated team. Our organization is a prominent healthcare facility catering to a large patient base.

The role requires flexibility, as additional hours for covering holidays and absences are a shared responsibility among all reception staff. Overtime may be necessary during operational hours.

This position is structured for a specific number of hours per week, primarily consisting of morning shifts during weekdays. The contract is for a fixed duration.

Key Responsibilities

The primary functions of this role include:

- Managing a high volume of incoming calls efficiently.

- Scheduling appointments for patients and assisting with their check-in process.

- Handling prescription requests.

- Providing patients with non-urgent test outcomes.

- Addressing inquiries and directing patients to the appropriate personnel as needed.

- Facilitating communication among Doctors, Nurses, and the Management team.

- Serving as the first point of contact, delivering excellent service to patients and visitors.

Job Duties

The role encompasses a variety of tasks, including but not limited to:

- Opening and securing the facility while ensuring safety protocols are followed.

- Utilizing the clinical management system to oversee appointment scheduling, process prescriptions, and provide routine test results.

- Operating at the reception desk: managing patient appointments, processing prescriptions, and addressing a range of inquiries.

- Handling the Appointments/Results phone line: scheduling, modifying, and canceling appointments, providing test results, and directing calls appropriately.

- Working in the Prescriptions department: managing prescription requests, resolving queries, and liaising with pharmacies.

- Taking detailed messages and relaying them to the relevant personnel.

- Conducting data entry and ensuring accurate patient records.

- Responding to prescription-related emails.

- Participating in regular team meetings.

- Managing incoming and outgoing correspondence.

- Maintaining a tidy reception area and ensuring informational materials are organized.

- Coding entries in the clinical management system.

- Filing patient records accurately.

- Assisting Senior Administrators with various tasks, including patient registrations and recall systems.

- Performing any additional duties as assigned by the Management team.

Candidate Profile

Required Qualifications

  • Proven experience as a receptionist in a healthcare setting.
  • Ability to adapt to the dynamic needs of the organization, including adjusting work hours when necessary.
  • Willingness to provide coverage for team members during absences.

Preferred Qualifications

  • Background in administrative roles.
  • Experience in customer service.

Required Experience

  • Experience managing phone communications in a busy healthcare environment.

Preferred Experience

  • Familiarity with working in a GP practice or similar primary care environment.
