Main Responsibilities:

The successful candidate will be responsible for efficiently managing various administrative and clerical tasks, including:

  • Providing comprehensive office and administrative support to the Medical Education teams.
  • Handling document management tasks such as photocopying, printing, and scanning as needed.
  • Welcoming visitors and Post Graduates to the department with professionalism and courtesy.
  • Assisting visitors and Post Graduates by offering information and addressing routine inquiries.
  • Managing incoming and outgoing telephone communications in a professional manner.
  • Taking clear and accurate messages, ensuring they are relayed to the appropriate personnel.
  • Inputting data into electronic systems as required.
  • Supporting the maintenance of accurate and timely records.
  • Assisting with administrative duties related to inductions, educational sessions, and accredited courses.
  • Utilizing Microsoft Office applications to facilitate administrative tasks, including generating documents and presentations.
  • Preparing and organizing educational spaces, ensuring all necessary equipment and materials are available.
  • Assisting in the procurement and management of stock supplies.
  • Coordinating room bookings for events as necessary.
  • Updating departmental notice boards.
  • Providing support during examination periods by preparing documentation and setting up rooms.

  • Delivering exceptional customer service through various communication channels, ensuring a friendly and helpful experience.
  • Maintaining accurate records in compliance with relevant legislation and organizational policies.

Qualifications and Experience:

  • Functional Skills in Mathematics and English Level 1 or equivalent qualifications.
  • Experience in an office environment, particularly in customer service roles.
  • Proficiency in using computers and various software applications.
