About the Role

The Patient Scheduling Coordinator plays a crucial role in ensuring a seamless and efficient appointment booking process within the Endoscopy Unit. This position serves as the primary point of contact for patients seeking to schedule their appointments, presenting a welcoming and professional demeanor.

Key Responsibilities

  • Coordinate appointment scheduling with patients both in person and via telephone, adhering to established protocols.
  • Prepare operation session lists in compliance with agreed procedures.
  • Manage the rescheduling of appointments as necessary, following set guidelines.
  • Provide patients with detailed information regarding booking procedures and distribute relevant informational materials.
  • Assist in maintaining and validating waiting list data.
  • Collaborate with medical staff to compile operation lists.
  • Facilitate the booking of patients for procedures from peripheral clinics.
  • Generate provisional operation lists for review by surgeons.
  • Support the Team Leader in the daily management of the booking office to achieve departmental objectives.
  • Welcome patients and visitors to the department, ensuring a positive experience.
  • Update patient information in the hospital's administrative system as required.
  • Manage patient admissions and discharges efficiently.
  • Coordinate follow-up outpatient appointments as needed.
  • Assist patients facing transportation challenges.
  • Direct inquiries regarding patient status to the appropriate nursing staff.
  • Handle telephone communications and take necessary actions.
  • Prepare theatre lists for the next day, ensuring accuracy and distribution to relevant departments.
  • Contact patients to confirm their attendance for scheduled procedures.
  • Implement procedures for patients who do not attend appointments, ensuring proper updates are made.

Qualifications and Skills

  • Good standard of education with strong keyboard skills.

  • Ability to handle sensitive situations with compassion and understanding.
