Key Responsibilities

The primary function of this role is to facilitate a seamless appointment scheduling service within the Endoscopy Unit.

You will serve as the initial point of contact for patients seeking to arrange their appointments, ensuring a friendly and professional atmosphere.

Duties Include:

  • Coordinating appointment dates with patients, both in person and via telephone, adhering to established protocols.
  • Preparing operation lists in accordance with set guidelines.
  • Adjusting appointments and lists as necessary, following agreed procedures.
  • Providing patients with information regarding booking processes and distributing relevant materials.
  • Assisting in the upkeep and verification of waiting list data.
  • Collaborating with medical professionals when compiling operation schedules.
  • Scheduling patients for procedures from external clinics.
  • Delivering provisional operation lists to surgeons for review and modification.
  • Facilitating patient bookings for day surgery at other facilities.
  • Supporting the Team Leader in the daily operations of the booking office to achieve objectives.
  • Being adaptable and willing to assist colleagues within the Unit.
  • Greeting patients and visitors entering the department.
  • Updating patient information as necessary and ensuring all records are accurately tracked.
  • Managing patient admissions, discharges, and outcomes efficiently.
  • Making follow-up outpatient appointments as needed.
  • Assisting patients with transportation challenges.
  • Directing inquiries regarding patient status to the appropriate nursing staff.
  • Handling telephone communications and taking necessary actions.
  • Downloading data for reporting purposes.
  • Printing and verifying theatre lists for accuracy.
  • Contacting patients to confirm attendance for scheduled procedures.
  • Following established protocols for patients who do not attend appointments.

  • Relevant external agencies as needed

Requirements:

  • A solid educational background along with proficient keyboard skills.
  • Familiarity with hospital Patient Administration Systems or similar software is preferred.
  • Professional communication skills with the public and internal/external stakeholders.
  • Strong time management abilities in a fast-paced environment.
  • Capability to sit for extended periods while inputting data.
  • Confidence in dealing with the public both face-to-face and over the phone.
  • Ability to communicate effectively with all levels of staff and external professionals.

Experience and Qualifications:

  • Previous experience in an office setting is advantageous.
  • Familiarity with Lorenzo or similar systems is a plus.
  • Basic numeracy and literacy skills are essential.
  • Good educational qualifications are required.
