Main Responsibilities

The Administrative Coordinator will be responsible for:

  • Providing comprehensive office and administrative support to the Medical Education teams.
  • Managing document handling including photocopying, printing, scanning, and organizing incoming and outgoing correspondence.
  • Welcoming visitors and Post Graduates to the department with professionalism and courtesy.
  • Assisting visitors and Post Graduates by offering information and addressing routine inquiries.
  • Handling telephone communications in a professional manner, ensuring clear and accurate message delivery.
  • Inputting data into electronic systems as required and maintaining accurate records.
  • Supporting administrative tasks related to inductions, educational sessions, and accredited courses.
  • Utilizing Microsoft Office applications to create documents, presentations, and spreadsheets.
  • Preparing and organizing educational spaces, ensuring all necessary equipment and materials are available.
  • Managing inventory and ordering supplies as needed.
  • Coordinating room bookings for events.
  • Updating departmental notice boards with relevant information.
  • Assisting during examination periods by preparing necessary documentation and setting up rooms.

Communication and Relationship Skills

  • Delivering exceptional customer service through various communication channels.
  • Engaging with colleagues, Post Graduates, and visitors courteously to ensure a welcoming environment.
  • Maintaining confidentiality and accuracy in record-keeping.
  • Exhibiting professionalism in all interactions.

Qualifications and Experience

  • Functional Skills in Math and English Level 1 or equivalent qualifications.
  • Experience in an office environment and providing customer service.
  • Proficiency in using computers for administrative tasks.

Skills and Personal Attributes

  • Strong written and verbal communication skills.
  • Ability to work effectively both independently and as part of a team.
  • Good organizational skills with the ability to manage time effectively.
  • Willingness to learn and adapt to new challenges.
