Proposal Coordinator / Office Based
This Proposal Coordinator role is with a leading firm specializing in rail infrastructure. In this position, you will be responsible for overseeing the preparation of bid submissions, ensuring that all components are well-structured, content-rich, and compliant with tender requirements and deadlines. Additionally, you will support the company's marketing communications efforts.
Key Responsibilities:
- Manage the bid submission process, ensuring clarity on evaluation criteria and weighting.
- Collaborate with the pre-contract team to design and produce high-quality proposals, including submissions, presentations, and capability documents that align with company branding.
- Utilize client portals to access tender information and manage the submission and retrieval of proposals.
- Maintain a comprehensive log of all project opportunities and ensure that related information is current in internal systems.
- Proofread and format final materials to adhere to branding guidelines.
- Regularly update a repository of standard PQQ and tender responses, including CVs and case studies.
- Work closely with the broader bid team to develop compelling bids.
- Create graphics to enhance PQQ and tender submissions.
- Provide administrative assistance to the bid team as necessary.
- Contribute to the development of content for both internal and external communications, ensuring a consistent identity and effective messaging.
Requirements:
- A minimum of 2 years' experience in a related position.
- Proficient in Microsoft Office Suite and Adobe InDesign.
- Ability to manage multiple tasks and meet tight deadlines.
- Experienced in content formatting, reviewing, and proofreading.
- A collaborative team player with strong communication skills, capable of building effective relationships across various functions.
- Excellent organizational and administrative abilities with a keen attention to detail.
- A motivated and adaptable individual, willing to take initiative and follow directions.
