Operations Coordinator

We are seeking a highly organized and detail-oriented individual to join our Operations Team as an Operations Assistant. As a key member of our team, you will provide essential support to our Operations Coordinator, ensuring the smooth day-to-day operation of our office.
Key Responsibilities- Front of House:
- Answer all incoming calls and transfer them to colleagues with a high standard of client care and confidentiality.
- Welcome visitors to our meeting rooms and inform the meeting host of their arrival.
- Ensure our meeting rooms are tidy, stocked with refreshments, and welcoming for visitors and colleagues.
- Office Administration:
- Archive closed files, deeds, and wills, and deliver them to colleagues, maintaining accurate records.
- Order and deliver stationery and other office supplies.
- Make travel arrangements as required.
- Provide general administrative support within the team and wider business.
- Health, Safety & Facilities:
- Assist with regular fire alarm checks.
- Perform regular health and safety tasks, such as emergency lighting tests.
- Post & Communications:
- Open, sort, and deliver incoming post and deliveries.
- Collect, sort, and frank outgoing post and deliveries.
- Experience working in a busy office environment, ideally in the professional services sector.
- Excellent professional communication and customer care skills.
- Excellent attention to detail and organizational skills.
- A proactive, supportive, and reliable team member.
- The ability to build good relationships with colleagues at all levels.
- A flexible approach to managing a varied workload and changing environments.
- Able to identify priorities and resolve clashes of time-critical tasks in discussion with appropriate others.
- Good understanding of and experience with Microsoft 365 (Word, Excel, and Outlook) and, ideally, Practice Management Software (although training will be provided).
