Proposal Coordinator / Office Based

We are seeking a Proposal Coordinator to join our team at Bid Solutions, a leader in the rail infrastructure sector. In this role, you will be responsible for overseeing the preparation of bid submissions, ensuring that all components are aligned with tender requirements and deadlines while also supporting the company’s marketing initiatives.

Key Responsibilities of the Proposal Coordinator:

  • Manage the bid submission process, clearly understanding and communicating evaluation criteria and weighting.
  • Collaborate with the pre-contract team to design and produce high-quality proposals, including bid submissions, presentation materials, and capability documents that adhere to branding standards.
  • Utilize client portals to gather tender information and manage the submission and retrieval of proposals.
  • Maintain a comprehensive log of all project opportunities and ensure that related information is current across internal systems.
  • Review and format final documents to align with company branding guidelines.
  • Regularly update a repository of standard Pre-Qualification Questionnaires (PQQ) and tender responses, including CVs and case studies.
  • Work closely with the broader bid team to develop compelling proposals.
  • Create graphics to enhance PQQ and tender submissions.
  • Provide administrative support to the bid team as necessary.
  • Assist in crafting content for both internal and external communications, ensuring a consistent identity and effectively conveying key messages.

Requirements for the Proposal Coordinator:

  • A minimum of 2 years' experience in a related position.
  • Proficient in Microsoft Office Suite and Adobe InDesign.
  • Ability to manage multiple tasks and meet tight deadlines in a high-pressure environment.
  • Experience in formatting, reviewing, and proofreading documents for clarity and accuracy.
  • A collaborative team player with strong communication skills, capable of building positive relationships across various functions.
  • Excellent organizational and administrative skills with a keen attention to detail.
  • A motivated and adaptable individual, capable of taking initiative as well as following directions.
